About the Role

Swale Borough Council is looking to recruit an Administration Assistant to work within our Planning Service on a temporary basis, providing support to a digital improvement project for the Customer Focus and Business Support Team.

The successful candidate will ensure that hard copy documentation is sorted, scanned and indexed onto the Document Management System, and that documents identified as no longer required are disposed of in a suitable manner.

You will be confident in using different IT systems and have knowledge and experience of MS Office (Word, Excel and Outlook) and be able to apply the principles of Data Protection legislation and compliance.

The successful candidate will have good communication and team working skills and the ability to learn quickly, be confident working on your own and use your initiative. You must not be afraid to ask questions.

This is a full time position working 34 hours per week, however part time hours may also be considered. The role is being offered on a fixed term contract for a period of six months, with the potential to be extended, and will be based at our Swale House office.

About You

You will be self-motivated, able to work with minimal supervision but also be a team player.

You will have experience of general administrative duties using various IT systems including Excel and a keen eye for detail. You will have the ability to prioritise and manage workload to ensure deadlines are met.

It is essential that you are either educated to GCSE standard at grade C/4 or above including Maths and English, or an equivalent qualification such as NVQ level 2 in a subject, or that you have at least 2 years’ experience in an administrative field.

Additionally, you will have excellent communication skills, both written and verbal and the ability to recognise and handle sensitive and confidential information, including an understanding of GDPR legislation.
