Location: Long Eaton Town Hall, Derby Road, Long Eaton, Derbyshire, NG10 1HU

Hybrid working is available – there is an expectation to attend the

office 2-3 times a week

About the Role:

As Property Portfolio Administrator at Erewash Borough Council, you will provide proactive administrative support to the Property and Leisure Services team, helping to manage land, property, estates and asset information across the Council’s property portfolio.

What You Will Do:

You will help keep property, inspection, maintenance, compliance and asset records accurate and up to date, using the Council’s asset management, GIS, finance and document management systems. This will include maintaining effective filing, correspondence, records and task tracking arrangements so that property activity is well organised and easy to monitor.

A key part of the role will be supporting the day-to-day management of the Council’s property portfolio. You will coordinate enquiries, documentation, diary arrangements, property viewings, access arrangements, key records and routine communications with tenants, occupiers, contractors, agents and colleagues across the Council.

You will also support repairs, maintenance and compliance processes by logging requests, raising and monitoring work orders, liaising with officers and contractors, arranging access, tracking progress and updating records to help ensure works are completed within agreed timescales and budgets.

The role will involve supporting property-related financial administration, including obtaining quotations where required, raising and managing purchase orders, receipting invoices, resolving queries and maintaining accurate budget records for property costs such as repairs, maintenance, utilities and service charges.

About You:

  • Experience of providing administrative support in a busy service environment, including handling correspondence, maintaining records and managing competing deadlines.
  • Confident user of Microsoft Office, particularly Outlook, Word and Excel, with the ability to use financial and other digital systems accurately.
  • Strong organisational skills, attention to detail and the ability to prioritise work, meet deadlines and maintain accurate records.
  • Good communication and customer service skills, with the ability to work effectively with colleagues, tenants, contractors, suppliers and members of the public.

Desirable:

  • Experience of working in a local authority, public sector, property, estates, facilities, construction or asset management environment.
  • Experience of supporting repairs, maintenance, compliance, procurement, work orders, purchase orders, invoice processing, budget monitoring or contract administration.
  • A business administration, customer service, property, facilities management or related qualification at Level 3, or willingness to undertake relevant training.
