About the team

We are looking for a talented, enthusiastic individual to join our Democratic & Statutory Services team, which includes the Coroner Service, Registration & Citizenship Service, Democratic Services & Scrutiny, Highway Boundaries & Land Charges team and County Council Elections. The role provides administrative support to the Head of Democratic & Statutory Services and the wider management team.

Part-time may be considered down to (3 days or short 5 days) 21 hours

About the role

  • Leadership Support: provide a confidential support service to the Head of Democratic & Statutory Services and wider senior management team, including correspondence, document editing / publishing, electronic filing, and support with project work.
  • Meeting management: plan and coordinate internal and external meetings, both face to face and via Teams. Prepare agendas, minutes, notes, and actions logs for meetings as appropriate.
  • Data and statistics: collate key performance indicator data sets for all services including service demand, supply of services, timeliness, financial information, and compliance with legislation. Manage feedback, compliments and complaints data. Provide ad hoc data presentation and analysis of data sets as requested.
  • Finance: process invoices for all services as required. Raise invoices, Purchase Orders, Service Orders and refunds as appropriate. Complete stationery and equipment orders for the whole service as requested, using the corporate ordering system and external ordering websites where required.
  • Projects: provide support to projects across the services. Monitoring and reviewing progress of various projects against deadlines, liaise with people throughout the organisation and externally with outside bodies.

About you

Essential:

  • Excellent communication and interpersonal skills are required and the ability to relate to a wide range of people, including members of the public, colleagues from across the services, county councillors, senior management, and professionals from outside organisations.
  • Demonstrable experience in the use of the full suite of office applications (Word, Excel, Outlook, MS Teams, PowerPoint) and specialised software, including case management systems, booking systems, committee management systems and social media administration, therefore competent IT skills are essential.
  • Demonstrable experience of collating and presenting data sets which requires accuracy. Ability to interpret the data, identifying trends and presenting information in an accessible format.
  • Experience of administering financial processing across the services, including invoice processing, purchase & service order creation, actioning refunds and using equipment ordering systems.
  • Ability to work under pressure, prioritise own workload, multitask and balance various responsibilities for various services at one time.
  • Experience in an administrative role with demonstrable secretarial skills, including diary management, minute and report writing and excellent organisational and planning skills

Desirable:

  • Good political sensitivity and awareness. Able to handle all responsibilities with a high level of diplomacy, discretion and professionalism
  • Experience in democratic or statutory service delivery.

This is a key and interesting role, supporting several specialist statutory services, which are provided to the public at the time of key events in their lives, from the birth of a child, death of a loved one, the purchase of a house or exercising their democratic rights
