
Recruitment Assistant
This is a full-time position on a 12 month fixed-term contract.
We are looking for someone who has the knowledge and skills to effectively support the work of the Recruitment Officer(s) with the administration processes related to permanent recruitment within Children’s Services.
In this team the work is varied and interesting, suiting someone who enjoys office administration and likes to be part of a busy and vibrant team.
The successful candidate for this position may have previous recruiting experience, but must have strong administrative skills and be able to thrive in an engaging working environment.
In this role, you will be expected to attend the office a minimum of twice a week, to assist with collating and scanning Right to Work and other compliance/general documents for candidates.
Some of the tasks that may be undertaken within this role are:
- Email inbox monitoring and responding to queries.
- Scanning candidate documents and ensuring they are sent to the relevant Recruitment Officer.
- Escalating any compliance and onboarding delays to the relevant Recruitment Officer.
- Uploading candidate details to our database.
- Processing of CVs, checking against previous submissions and agency representation.
- Booking of interviews.
- Following up recruiting managers for feedback.
- Collecting compliance from candidates directly, or their representing agencies.
- Being a contact for recruiting managers, candidates and agencies, via email, Teams and telephone.
- Assisting the Recruitment Officers with administration tasks.
- Initial contact for general queries within Children’s Services.
Person Specification:
Qualifications
- Ideally five GCSE’s grade C and above (or equivalent) or have completed an NVQ Level 2 and a willingness to work hard and support a busy team.
Skills
- Previous experience of using computer packages; like Word, Excel and PowerPoint is desirable.
- Demonstrable ability to communicate in a manner that is easily understood and tailored to meet the needs of the audience.
- Demonstrable ability to take ownership of work and fulfil agreed commitments, checking work for accuracy.
- Demonstrable experience of identifying potential problems and taking appropriate action.
- The ability to think about alternative ways of doing things and being open to new work practices and responsive to change.
Personal Qualities
- Experience of dealing with customers in a courteous and helpful way by keeping them advised of progress and offering them a solution to their problem.
- Demonstrable understanding of the process of team working and the part they play in ensuring objectives are met.
- Demonstrable experience of taking responsibility for own actions and development opportunities, maintaining high levels of integrity.

Career Progression Framework
Career Progression Frameworks (CPF) have been introduced for all roles at Medway Council. These frameworks provide a mechanism for employees to take ownership of their development within their post and be rewarded accordingly. This means that the salary you will be offered will be at level A unless, based on an assessment against the CPF criteria, you demonstrate that you are meeting the criteria of level B or C. There will be further opportunity once in post to progress from level A to B, and B to C.

Level C requires the highest level of competence and applicants would need to fully meet and demonstrate all aspects of the job profile, including qualifications, knowledge, skills and experience.
The Recruitment team are seeking a Recruitment Assistant to join the team at level A. This is the entry point of the role, so you will need to be able to demonstrate the relevant knowledge, experience and skills to get you started, but you will be supported to develop in your role through induction, probation and a supportive Performance Appraisal and Career Conversation. All elements of level A listed within the person specification are essential. Through your induction you will be introduced to the Career Progression Framework (CPF), which will help you to identify your areas of strength and any development needs.
