Job Introduction

The West Midlands Combined Authority is working to become the best place to work and belong, creating the right conditions for our people to feel supported, included and able to do their best work. Our People & Culture Services team plays a key role in making that happen by providing the advice, support and administration that helps colleagues and managers across the organisation have a positive experience at work.

As a People Administrator, you will be part of our People Shared Service Centre, providing effective and efficient HR administration across the employee lifecycle. From responding to queries and supporting onboarding to maintaining accurate records and producing timely documentation, your work will help deliver a professional, responsive and trusted service for our people.

Please note that this is a 6 month fixed term contract.

What you’ll be doing.

  • Provide effective and efficient transactional and administrative support as part of the People Shared Service Centre.
  • Act as a first point of contact for HR-related queries through Fresh Service tickets.
  • Manage allocated Fresh Service tickets, taking appropriate action and escalating where required in line with service level agreements.
  • Promote and support manager and employee self-service, including supporting the roll-out and use of BW self-service.
  • Act as a Super User for the BW system, responding to system queries from self-service users and new starters.
  • Manage and organise new starter welcome sessions for employees and contingent workers.
  • Produce accurate documentation across all stages of the employee lifecycle, ensuring it is distributed and filed appropriately.
  • Manage pre-employment checks for new starters, ensuring policy and legal requirements are met.
  • Provide administrative support for employee relations case management, including minute taking, document management and timely turnaround.
  • Maintain employee personal files, ensuring employment records and documents are compliant, filed and retained correctly.
  • Input employee data into BW systems and support change request processes to maintain accurate and live records.
  • Create and maintain Excel trackers to support record management.
  • Check the accuracy of data input through manager self-service and monitor and log errors.
  • Maintain structure charts using BW reports and information from People Business Partners.
  • Arrange meetings and provide administrative support to People & Culture working groups.
  • Support People Advisors with sickness absence and probation management administration.
  • Participate in People & Culture projects as required in line with organisational priorities.
  • Support inclusion, wellbeing and continuous improvement across people delivery.

What’s essential.

  • Experience of working in an HR Service Centre providing transactional services across the employee lifecycle.
  • Experience of providing a responsive customer service through online services.
  • Experience using HR systems, including data input and management.
  • Experience working in a fast-paced office environment as part of a service-oriented team.
  • Generalist HR knowledge at a transactional and administrative level.
  • Good knowledge of Microsoft Office and SharePoint.
  • Ability to produce accurate and concise documentation within agreed timeframes.
  • Ability to prioritise and work effectively as part of a fast-paced team.
  • Ability to make decisions effectively using your own knowledge and available data.
  • Ability to communicate effectively with managers and employees at all levels.
  • Ability to work on your own initiative.
  • Good organisational and interpersonal skills.
  • Excellent attention to detail.
  • Desire to learn and develop.
  • Minimum Level 3 qualification.

Location.

The location for this role is 16 Summer Lane, Birmingham, B19 3SD with at least 2 days a week spent in the office.

    Using Artificial Intelligence (AI)

We cannot stop anyone from using AI to help write application content. Used right, it can be a great tool. If you choose to use AI, then use it as a helper rather than relying on it wholly to write your application.

Applications that rely too heavily on AI may be rejected during shortlisting. For help on how to write a supporting statement, please visit the FAQs section of our careers site.

    Reasonable adjustments.

If you have an accessibility need, disability, or condition that means you might require changes to the application or recruitment process, please get in touch with our Recruitment Team (careers@wmca.org.uk).

    Salary and benefits.

We advertise salary ranges, with new appointments typically starting at the lowest salary point. In exceptional cases, the salary point may be adjusted to secure the best candidate.
