Job introduction
The School Meals Team is part of the Families, Children and Wellbeing directorate. We are looking to recruit a School Meals Contract Officer to be responsible for the provision of a fully effective business support service for the School Meals Contract, working collaboratively with a large number of Primary and Special schools across the City.
You will have experience of working in a busy office environment with a flexible, adaptable approach and the ability to multitask effectively according to business priorities. Experience in business support administration including, knowledge and experience of databases, document management and finance processes. Be able to manage your own workload and prioritise tasks whilst working to a high level of accuracy and with an attention to detail
As part of a small, hard-working and friendly team, you must be adaptable and willing to respond to issues as they arise.
This is a full-time position working Monday – Friday and currently based in the offices at Hove Town Hall. Hybrid working will be supported once competency levels have been achieved/probation period has been completed.

About the role
The post holder’s Principal Accountabilities will be responsible for:
The analysis and reporting of take up of paid, free and UIFSM meals to support the financial reconciliation of the school meals contract costs/school meals budget. Preparation of complex internal financial journals in accordance with prescribed regulations and Council policies.
Provide advice and support to schools regarding online cash collection and dinner money management queries/issues. Manage the school meals banking process.
Be the point of contact for school kitchens with any equipment issues or repairs needed. Liaise with/ between the various contractors and schools to arrange efficient repair/ replacement.
Raise purchase orders and process contractor’s invoices maintaining accurate electronic records.
Create and maintain agreed menus, manage dietary information in online systems, ensuring that they are accurate and uploaded in line with schools’ requirements.
Create/maintain information/content relating to school meals on the Council’s webpage and BEEM (online management system).
Maintain and distribute all copies of Contract correspondence to assist with the Contract tendering process. Minute Contract Review meetings, provide cover for the Free School Meals Officer providing support to and answering queries of the schools and families.
Maintain effective systems, ensuring an efficient and well organised office environment, supporting colleagues in the Team as necessary.

Your starting salary will be pro rata if the above position is less than 37 hours or term-time only.
