We are looking for a motivated and enthusiastic team member, with good communication and interpersonal skills, to join the Special Educational Needs (SEN) Team.
To provide an effective and efficient administrative support service to the special educational needs officer and managers.
To take the lead for the generic SEN e-mail in-box ensuring that all e-mails are read and responded to within 2 days of receipt, where a response is required.
To ensure that all emails sent to the SEN generic inbox relating to requests for education, health and care assessment are opened on the same day as receipt, encrypted or password protected documents can be read, and the documents are saved to a child’s electronic file, creating a new file as needed.
To allocate to the request for education, health and care assessment to an “assessment” SEN officer, taking into account the numbers and stages of assessments for each officer to ensure appropriate distribution.
To open e-mails sent to the generic SEN inbox relating to Person Centred Annual Reviews (PCARS) within 2 days of receipt, ensuring that encrypted or password protected documents can be read, PCARS are allocated to the folder to be read by the SEN PCAR Officer, and that the receipt of the annual review is logged correctly on the SEN Synergy database.
To answer telephone queries from members of the public, schools and other agencies, providing advice and answers to generic questions (following training) and directing phones calls to SEN Officers or managers as required.
To take the lead for setting up training sessions, following direction from the SEN Manager, either virtually or at a venue, including sending out invitations, sourcing a venue as required, collating responses to invitations, collating training evaluation pro forma, and sending out follow up information to attendees.
To take the lead for arranging the venue, catering, and facilities required for the annual Medway SENCO conference, including overseeing sign in, parking at the venue, equipment required, collation of evaluations, and preparation of materials for conference, delegated through liaison with the Medway Council print room.
To work with the SEN Co-ordinator assistant to ensure that all statutory work relating to requests for education, health and care assessment and PCARs is met to ensure timescales are met.
With the SEN Co-ordinator assistant to ensure that accurate data is kept in relation to requests for education, health and care assessment.
To receive SEN files from other Local Authorities, creating a new Medway file, and alerting the SEN Assistant Manager, and to send SEN files to other local authorities when a pupil moves out ensuring GDPR guidelines are maintained. To ensure that accurate records are kept for both processes.
To receive requests for placement in Medway state-funded schools made by other local authorities, ensuring that papers are sent to the school concerned and that the response from school is received and the requesting local authority advised accordingly.
To raise orders for SEN team stationery, services and equipment (as directed by the SEN Manager) using the Medway Integra Finance System.
