About the role

The Child and Family Contact Team is a frontline service responsible for coordinating and supporting the delivery of supervised contact between children and their families within extensive statutory frameworks. All staff working in the service must have specialist knowledge in order to deliver effective services to these high risk and high need groups. The Family Contact Service operates from Leatherhead and Woking and consists of 11 FTE staff. Our aim over the coming 12 months is to improve on the quality of contact that families have with each other; reduce down on the number of hours of contact that are cancelled; improve the environments where families have contact; work more collaboratively with Social work teams and support families resilience.

The Assessment Consultation Therapy team are also based in the Shaw Centre. The team works with children, young people and their families as well as schools and other professionals when there are concerns about a young person's sexually harmful behavior.

In this role you will be working directly with the Child and Family Contact Service and ACT team in Woking but covering in Leatherhead when required. You will meet and greet visitors to the Centre including parents, carers, children and ACT clients. You will provide a warm and welcoming introduction and ensure rooms are ready for contact to commence. You will be responsible for organising multiagency meetings, liaising with professionals both within Social Care and other agencies; answering phone calls for the contact service and ACT, which can at times be challenging. 

An ability to take a methodical and flexible approach to work is essential as you will need to keep track of information, update and maintain spreadsheets and databases; as well as providing regular statistics on both the contact service and ACT service. You will also be tasked with taking meeting minutes and subsequently distributing to involved parties, ensuring timescales are met; and provide performance information.

You will be highly organised, willing to take responsibility and use initiative; comfortable in setting your own priorities and meeting deadlines. You will make sure that everything is in place to guarantee that all runs smoothly for the processes and teams you support.

Excellent interpersonal skills are essential along with a high level of written and oral communication skills. You will have experience of working with highly confidential and extremely sensitive and explicit information. You will work in a customer focused environment and have the ability to work under pressure and to tight deadlines.

We are looking for someone who:

  • Has a solid background in administration
  • Has experience of working in a busy office environment
  • Has excellent customer service and communication skills and the ability to remain calm in challenging situations.
  • Has the ability to take accurate phone messages and experience of managing difficult phone calls, at times of a highly sensitive nature.
  • Has knowledge of supervised contact services and ACT teams remit.
  • Is organised and able to work using your own initiative.
  • Has excellent IT skills and is proficient in using Microsoft Office
